Workshop Overview : Managing Time

Introduction


May it be professional life or in personal life, procrastinate and then brood over lost time without any tangible growth, is a common phenomenon that has made “How to manage all responsibilities and aspirations within a specified period/timeline” a specific problem area to address. It needs to be addressed because it not only dilutes the productivity and effectiveness of teams, organizations and enterprises, rather more dreadfully it takes our talent pool into a spiral of hopelessness. And that is the last thing an organization would like to see. This workshop is meant for us to together develop real meaningful skills to combat this enigma.

Let’s think carefully, isn’t it true that as much as we might have been born with natural affinity to “independence” (Thomas Jefferson), we have fallen slave to Time i.e. being managed by time, not vice-versa! That’s the problem, we must address in this workshop. We at talent sigma encapsulate it as “I am motivated by smartly achieving my goals by planning and prioritizing my time to balance my (work and) life”

Complaining about shortage of time, professionals, particularly, are getting their workplace increasingly hot and so much so that they have coined new vocabulary called “Time pressure”. They have started feeling and behaving as if they come and go into and out of a pressure cooker when they come and go from the work place. In many cases it is work place and home. And, sadly some situations have ended up in the street as well! So, clearly, everyone needs a trick to get some more time in a day but in vain. The solution lies with being smarter in managing time to balance personal and professional life, which many might argue that it is easier said than done. That’s why we ask you to set your goals right to start with and then the others will follow with discipline and practice.

Time management is an essential skill that helps you keep your work under control, at the same time that it helps you keep stress to a minimum. We would all love to have an extra couple of hours in every day. Seeing as that is impossible, we need to work smarter on things that have the highest priority, and then creating a schedule that reflects our work and personal priorities. With this in place we can work in a focused and effective way, and really start achieving those goals, dreams and ambitions we care so much about. And be “HAPPY”.

Objectives


In this two day workshop we would suggest participants to concentrate on two aspects of life – learning to be Efficient and thinking to be Effective. In this segment we would concentrate on some of the tried and tested skills that professionals have learned and immensely benefited at workplace in managing time. Areas to be covered are – Goal setting , Preparation of To-do List , learning to Prioritize, preparing Activity Log , avoiding Procrastination, Failing to Manage Distractions, learning to say NO, Scheduling and Use of Technology, The Urgent/Important Matrix, Managing Interruptions, as instruments utilized to manage time efficiently.

By effectiveness we mean to maximize the utilization of help/people at workplace to get optimum output. It is about learning the techniques of Delegation and Managing Colleagues and importantly Your Boss, thus be successful in managing upwards and downwards.

Session Flow


  • Day 1 - 9.30 to 10.30 :
  • .   Registration & Inauguration by Officials
  • .   Ice breaking & Introduction
  • Day 1 - 10.30 to 17 :
  • .   Session one: The participants will be asked about their expectations from the workshop and faculties will conduct sessions keeping an eye on the demands
  • .   How well you manage your time – a self assessment exercise to be aware about your time management skills. The questionnaire is designed by taking all aspects of time management which are to be covered in two days
  • .   Importance of Time management, Challenges. The techniques of managing self (efficiency) & managing other (effectiveness)
  • .   Session Two: Goal Setting. This section will cover the importance and techniques of Goal setting and its role in time management. How to set SMART goals and learning about Edwin Locke’s goal setting at workplace. Participants will learn to sketch their goals – long term & short term
  • .   Session Three. This session will take care of Activity Log. This is an instrument to know how every day is passed by a person. This exercise will sensitize a person to be aware about the use and misuse of time. Also this session will cover every day To-Do List, and Prioritization & use of technology to manage time
  • .   timeSession Four: Will start with there will be an exercise – “A test with a moral”. This exercise will sensitize participants about their style of working that works like a leaky bucket. They work hard not smart. This session will discuss about Procrastination and how to avoid it. Other concepts to be discussed are Managing distractions by Managing Thought
  • .   End of the Day: Sum up of the sessions and handling questions etc
  • Day 2 - 10.00 to 17.00 :
  • .   Session one: How in different stages of human life time has been managed? This session will concentrate on the Urgent/Importance matrix. This is a technique that reminds people how much they are to important matters. A lot of time is spoiled by people who do not understand the concepts.
  • .   Session Two: The importance of being effective is discussed in this session. A managerial staff has to complete the assigned task through people. And it is his responsibility to make people competent to use them to the optimum. We will discuss the importance of Delegation & How to delegate
  • .   Session Three. This session will discuss about Delegation, Managing colleagues and above all managing the Boss. The ability to say NO in case of need is also to be handled
  • .   timeSession Four: “O manager manage yourself”. The concentration will be on balancing life to manage time. It will be a combination of Body, Mind, Heart and Spirit. It will be about using Rest & Relaxation techniques to be rejuvenated or to Sharpen the Saw to be more efficient and effective in managing time
  • .   End of the Day: Sum up the entire program ii) Feedback & Valediction
